About the role

Reporting to the General Manager Project Controls, the Administration Services Manager role will lead and oversee the Engineering and Construction business unit administration team (head office and site), ensuring delivery of high-quality administrative, and business support services across the organisation.

This role plays a key part in developing and streamlining administrative systems, supporting project and operational teams whilst ensuring compliance with company policies, legislative requirements and industry standards within the Engineering and Construction business unit.

In this position you’ll:

  • Ensure administrative functions comply with legislative, contractual, and company requirements.
  • Support corporate governance processes, internal audits, and continuous improvement initiatives.
  • Maintain confidentiality and ensure proper handling of sensitive company and client information.
  • Streamline and maintain administrative processes to enhance efficiency, accuracy, and compliance.
  • Act as a key point of contact for administrative enquiries from within the business and from external stakeholders.
  • Foster positive working relationships with personnel, clients, contractors and suppliers.
  • Represent the company professionally in all communications.
  • Ensure all documentation and communication conforms to brand and professional standards.
  • Oversee the management of company records, correspondence, registers, and filing systems.
  • Conduct end-of-period review of payroll data to ensure accuracy and compliance.
  • Manage processing and reconciliation of Success Factors, timesheets, leave, pay queries, and manual payroll adjustments.
  • Act as Subject Matter Expert for system updates and change management testing.
  • Provide dependable and confidential executive assistance to the Chief Executive—calendar management, stakeholder liaison, data collation, and event coordination.
  • Lead office logistics including seating plan management, equipment returns and reissue.
  • Oversee purchase orders, invoice processing, and expense tracking for administrative functions.
  • Assist the finance team with budget preparation, expenditure reporting, and procurement documentation.

Necessary skills and qualifications:

  • Hold a Certificate IV or Diploma in Business Administration, Management, or a related field (bachelor’s degree desirable).
  • Have a minimum 10 years administrative management experience, preferably within the Construction, Engineering, or Infrastructure sectors.
  • Knowledge of labour regulations (ECA, FWA), construction related compliance, HSEQ standards and contractual documentation.
  • Experience in rostering, mobilisation, and logistics coordination in a FIFO, DIDO or remote site context.
  • Strong leadership and interpersonal skills with proven ability to manage and motivate a team.
  • Highly proficient using Microsoft software packages.
  • Excellent analytical, organisational and multi-tasking skills.
  • Ability to prioritise competing demands.
  • High attention to detail, accuracy, and document integrity.
  • Excellent communication, problem-solving, and decision-making abilities.
  • Advanced Proficiency in Microsoft Office Suite and construction or project management systems (e.g., INX, Success Factor, Pronto, Synchro Perform, Anaplan or Similar).
  • High level of discretion and professionalism in handling confidential information.
